2014 CIG Crustal Deformation Modeling Workshop

Registration and Travel Support

Registration is now closed. Only participants with official appointments at US institutions are eligible for travel support. You must complete the application for travel support to receive any reimbursement for travel.

Workshop Meeting Room

The workshop will take place in Paul Berg A Hall in the Li Ka Shing Conference Center. We will be meeting in Room A on the second floor. [Map]

Posters

Normal poster size is fine. Please keep the width (horizontal dimension) to less than 6' (1.8 m).

Housing

Housing is available for participants with official appointments at US institutions through the Application for Travel Support. If you are traveling with family, please contact us for housing options. Housing is on campus in the ZAP and Delta Delta Delta houses in the Cowell Cluster.

CHECK-IN

Onsite Check In is Sunday, June 22 from  3-5pm at the Cowell Cluster Housing (ZAP/Tri Delta common area).

If you are taking an Airport shuttle to Wilbur or Crothers, please ask the driver to wait while you receive your keys, and then drive you to the ZAP/Tri Delta Housing area. [Map]

CHECK-OUT

Onsite Check Out is on Friday, June 27 from 6:45am - 7:30am at the Housing common area.  Participants may turn in their keys and their labeled luggage for transport, storage and retrieval at Li Ka Shing (LKS). Luggage will be kept in supervised storage at the conference center for those departing directly from LKS.

For all other check-outs, please return your keys to the Wilbur Conference Front Desk anytime from 8:00am - 8:00pm. DO NOT LEAVE YOUR KEYS IN YOUR ROOM. After hours, you may use the drop box outside the Wilbur Office (left of door). Please make sure your keys are clearly marked with your name and conference (CIG CDM). Envelopes and pens will be available. Best, hang on to your check in envelopes!

On Saturday, please check out by noon.

You may also return your keys to one of the CIG staff members during the workshop at LKS.

Meals

A continental breakfast and lunch will be provided in the foyer and lawn areas of the Li Ka Shing Conference Center Mon-Fri. Dinner each day will be on your own. There are many restaurants just off campus in downtown Palo Alto (University Avenue area) and in the Stanford Shopping Center.

Parking

If you are bringing a car to campus, parking lots are located near both the Cowell Cluster housing and LKS. Parking is by permit only. Each area requires different permits (residential and event). Permits can be purchased upon arrival or onlineAll orders must be placed by 5pm PST on Thursday, June 19th and will be available for pick-up on arrival.

Lot L-65: Residential parking for Tri-Delta and ZAP houses, $4.75/day (residential permit).

S-5, Parking Structure 5:  Event permit parking for Li Ka Shing (roof deck only). Visitor parking $12/day, advance purchase $4.25/day (event permit).

Getting around Stanford

Stanford has a very walkable and bike friendly campus. It is about a 1.2 mile (2 km) walk from the Stanford housing to the workshop meeting room. Map

Stanford runs a free shuttle, the Margeurite, for its employees and campus guests with convenient drop off and pick up points near housing and the conference center:

  • Cowell Cluster to LKSC (Y Line - clockwise). Every 20 minutes, 7:00am - 8:30pm; year round, Monday through Friday
  • Cowell Cluster to downtown (X Line - counter clockwise). Every 20 minutes, 7:00am - 8:30pm; year round, Monday through Friday.

Getting to/from the airport

Stanford is conveniently accessible from both the San Francisco International Airport (SFO) and the San Jose Airport (SJC) via public transportation. Public transportation is about 1/10 to 1/5 the cost of a shuttle or taxi, but it is a 1.7 mile walk from the train station to the housing. From SFO use BART and Caltrain, and from SJC use VTA and Caltrain.

SHUTTLE SERVICE

San Francisco International Airport (SFO),  the San Jose Airport (SJC) and Oakland Aiprort (OAK) are served by private shuttle services.  On Wed morning of the meeting, we will organize airport shuttle reservations to get TO THE AIRPORT. This cuts down the time to get the airport by reducing the number of stops as well as reducing the cost per person. Consequently, if you use a shuttle to get FROM the airport to Stanford, we strongly recommend booking only a one-way trip.

FROM SFO VIA PUBLIC TRANSPORTATION

  1. Catch BART from the station adjacent to the International Terminal. Take BART to Millbrae. In the evening and on weekends, you can catch a Millbrae train from the airport. On a weekday during the day, you must take the train towards San Francisco and get off at the first stop (San Bruno) and cross the platform to catch a Millbrae train.
  2. At the Millbrae station go up the stairs and cross over to the Caltrain platform for trains to San Jose. Purchase a one-way Caltrain ticket from the kiosk.
  3. Take Caltrain to the Palo Alto Station (University Avenue). Note that most, but not all trains stop at Palo Alto Station.
  4. It is a 1.7 mile walk from the Palo Alto Station to the housing. Alternatively, you can take a taxi from the station.

FROM SJC VIA PUBLIC TRANSPORTATION

  1. Catch the free VTA Airport Flyer Bus headed to Santa Clara Caltrain (route 10) from the terminal. Do not take the route 10 bus going to the Light Rail Station.
  2. Go through the tunnel to the middle platform (to San Francisco) and purchase a one-way Caltrain ticket from the kiosk.
  3. Take Caltrain to the Palo Alto Station (University Avenue). Note that most, but not all trains stop at Palo Alto Station.
  4. It is a 1.7 mile walk from the Palo Alto Station to the housing. Alternatively, you can take a taxi from the station.

Recreational facilities

Athletic Facilities at Stanford

As a conference guest, you can purchase passes that allow access to the following athletic facilities on campus: Arrillaga Outdoor Education Recreation Center (AOERC), Arrillaga Sports and Recreation Center (ASRC), Avery Recreation Pool, Ford/Burnham, and Tresidder.  Passes can be purchased in advance of arrival online or upon arrival at either the AOERC or ASRC front desks.  For information about facilities and hours of operation, please visit:

Travel Reimbursement

Travel reimbursements were offered either through CIG or SCEC. Please refer to your travel offer to determine which organization to claim your travel reimbursement and your amount. You will be reimbursed for your transportation expenses only.  This includes:

  • airfare
  • airport shuttle
  • airport parking
  • mileage to and from airport

REMEMBER to include your offer letter with your receipts.  Do not forget to SIGN your travel report. No .jpgs are accepted.

Please save all your receipts as you travel, and plan to complete the expense report as soon as possible after the workshop.

SCEC

SCEC travel support will be processed through the University of Southern California [USC Travel Expense Report]

Please note:

  • The University requires a current mailing address for each payee.
  • All expenses claimed should be accompanied by a receipt.
  • If you are a foreign national, studying or working in the US on a short term visa, there are additional documents that USC requires. 
    • Please email immediately with your visa type (B/waiver/H1/F1/J1) and SCEC will send the appropriate forms.

SCEC will need to receive your completed report and receipts within 10 business days of the workshop end-date, that is, no later than July 16, 2014

SCEC will not be able to reimburse you after that date.
